OneDrive User Guide: Getting Started
Welcome to the comprehensive guide for getting started with Microsoft OneDrive.
OneDrive is Microsoft's cloud storage service that connects you to all your files.
It lets you store and protect your files, share them with others, and get to them from anywhere on all your devices.
1. How to Download and Install OneDrive
If you are using Windows 10 or Windows 11, OneDrive is usually pre-installed on your PC. You can find it by searching for "OneDrive" in the Start menu. If you have uninstalled it previously or are using an older version of Windows, follow these steps:

- Open your web browser and navigate to the https://support.microsoft.com/en-us/onedrive/download-onedrive
- Click the Download button to get the installation file.
- Once the download is complete, double-click the file to run the installer.
- Follow the on-screen prompts to complete the installation.

2. How to Sign In and Set Up OneDrive
Once you have installed OneDrive (or located it on your Windows PC), you need to sign in with your Microsoft account to start syncing your files.
- Open the Application: Launch OneDrive from your Start menu (Windows), Applications folder (Mac), or home screen (Mobile).
- Enter Email Address: In the setup window, enter the email address associated with your Microsoft account (e.g., @germantown-tn.gov).
- Click Sign In: Click the blue Sign in button.
- Enter Password: Provide your Microsoft account password on the next screen and click Sign in again.
- Follow the Setup Wizard:
- You will be prompted to confirm your OneDrive folder location ( accept the default location to avoid sync issues).
- Review the brief tutorial screens that explain OneDrive's features.
- Select any local files and folders you wish to keep synched and allow the app time to upload them to OneDrive
- Finish Setup: Once you reach the end of the wizard, click Open my OneDrive folder to view your synced files.
3. Tips for Success
- Files On-Demand: Enable "Files On-Demand" in your OneDrive settings. This feature saves space on your hard drive by keeping files in the cloud until you double-click to open them.

File Status Icons: Pay attention to the icons next to your files in File Explorer or Finder.
A blue cloud icon means the file is online-only, while a green checkmark means the file is locally available on your device. - Passwords: Please keep track of your passwords as your Office 365 account passwords are separate from your city credentials.
- Excel and Word support multi-user collaboration: If a file is located on one drive, multiple users may simultaneously access a document and make changes. The system will synchronize live between the users similarly to google workspace applications.
- Archive and Database files - It is strongly recommended to avoid putting Access database files such as: .mdb, .accdb on OneDrive, as the synchronization process can easily corrupt and break functions on them leaving the file unable to be repaired.
